Privacy Policy

Klingbo Intelligence Ltd (“Klingbo”, “we”, “us”) is a company registered in Ghana. This policy explains how we collect, use, store, and protect personal data when you use the Klingbo website, WASSCE learning tools, university learning tools, mobile app, educators portal, and related services (the “Platform”).

We design Klingbo for Ghanaian learners, including Senior High School students preparing for WAEC/WASSCE, learners studying Ghana Education Service (GES) curriculum-aligned material, and university students comparing or managing Ghana Tertiary Education Commission (GTEC)-regulated tertiary education information.

We comply with the Ghana Data Protection Act, 2012 (Act 843). Klingbo is not owned by, operated by, or officially endorsed by WAEC, GES, GTEC, or the Ministry of Education unless a written partnership is separately announced.

Account data: Your name, email address, and password hash when you register. If you sign up with Google, we receive your name, email, and profile photo from Google.

Profile data: Study type (WASSCE, SHS, university, teacher, or guardian), school or university name, programme, subjects, graduation year, region, preferred study language, and study preferences you provide during onboarding.

WASSCE and GES learning data: Selected SHS track, WASSCE subjects, GES curriculum topics, WAEC past-paper practice history, mock exam attempts, marked responses, revision plans, lesson progress, XP earned, and study streak data.

University and GTEC-related data: University interests, programme choices, admission preferences, accreditation research notes, timetable entries, GPA or grade inputs, assignments, document uploads, and tutor conversations about tertiary programmes.

Payment data: We do not store card numbers. Paystack and Hubtel process payments directly. We store payment reference numbers, subscription status, and plan tier.

Device data: Browser type, device type, IP address, and crash reports collected automatically for operational purposes.

School or educator data: If an institution uses Klingbo, we may process class names, class groups, teacher-assigned tasks, school-level usage reports, and learner progress summaries required to provide the school service.

• To provide and personalise AI tutoring, study plans, progress tracking, offline learning, and revision reminders
• To align learning recommendations with WASSCE subjects, GES curriculum topics, WAEC past-paper practice, and university course material
• To help university users organise programme research, admission tasks, and GTEC accreditation checks they choose to save
• To enforce subscription limits and verify premium access
• To send study reminders and coaching emails (only if you opt in)
• To generate aggregate, anonymised analytics about learning outcomes, subject difficulty, and feature usage
• To comply with legal obligations and prevent fraud

We do not sell your personal data to advertisers or third parties.

Your AI tutor conversations are used to provide responses and are stored so you can review session history. This may include questions about WAEC/WASSCE past papers, GES curriculum topics, teacher notes, university lecture notes, and GTEC-regulated programme research.

We use anonymised, aggregated conversation patterns to improve AI response quality, detect unsafe or exam-cheating prompts, and improve topic coverage. Your individual conversations are never shared with other users.

Documents you upload, including class notes, PDF handouts, past questions, syllabi, or admission documents, are processed to create searchable embeddings stored in a private vector database indexed to your account. You can delete documents at any time. Embeddings are purged within 30 days of deletion.

We do not use your private documents to train a public AI model unless you give separate, explicit consent.

If Klingbo is provided through a school, university, teacher, or learning programme, we may share limited progress information with that institution, such as completion status, topic mastery, quiz performance, and attendance in assigned activities. We do not share private AI tutor conversations unless the product screen clearly says the activity is teacher-assigned or school-monitored.

For learners under 18, a parent, guardian, school, or authorised educator may request support with account access, billing, or safety concerns. We verify the request before disclosing account information.

We share data only with:

• Supabase — database and authentication (servers in US East, EU)
• Anthropic / OpenRouter — AI inference for tutor conversations (no training on your data per Anthropic's API terms)
• Pinecone — vector storage for document embeddings
• Paystack / Hubtel — payment processing
• Render / Vercel — infrastructure hosting
• PostHog — anonymised product analytics

All processors are bound by data processing agreements. We do not share data with your school, university, or parents without your explicit consent, except where required by Ghanaian law.

We do not send your personal learning records to WAEC, GES, GTEC, or the Ministry of Education unless you ask us to, your school programme requires it with proper notice, or Ghanaian law requires it.

We retain your account data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance (e.g. payment records for 7 years under Ghanaian tax law).

WASSCE mock exam attempts, learning analytics, uploaded documents, timetable entries, university programme notes, and AI tutor history are deleted or anonymised within the same deletion window unless a school or institution contract requires a shorter retention period.

Under the Ghana Data Protection Act, you have the right to:

• Access a copy of the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data (“right to be forgotten”)
• Withdraw consent for optional processing (e.g. coaching emails) at any time

To exercise any of these rights, email privacy@klingbo.com. We will respond within 30 days.

We use a single authentication cookie (set by Supabase) to keep you logged in. We do not use advertising cookies or third-party tracking pixels. PostHog analytics is loaded only when you have an active session and uses anonymised identifiers.

All data in transit is encrypted with TLS. Data at rest is encrypted by Supabase (AES-256). Row-level security policies ensure each user can only access their own data. We conduct regular security reviews and apply security patches promptly.

We apply additional controls to education records, uploaded notes, assessment history, and school dashboards so users, teachers, and administrators only see data they are authorised to access.

The Platform is not directed to children under 13. If you believe a child under 13 has created an account, contact us at privacy@klingbo.com and we will delete the account promptly.

Students aged 13 to 17 may use Klingbo with parent, guardian, or school permission. We avoid behavioural advertising, public profile discovery, and unnecessary public sharing for student accounts.

Klingbo may link to or summarise public information from WAEC, GES, GTEC, universities, and other education bodies. When we store your saved searches, programme comparisons, or study notes about those bodies, we treat that as your personal learning data. Always confirm official exam registrations, results, certificates, accreditation status, and admission requirements through the official body or institution.

We may update this policy as our practices evolve. We will notify you by email or in-app notice before material changes take effect. The effective date at the top of this page reflects the latest version.
